KEY JOB FUNCTIONS

Maintains office filing system by ensuring that all office files are kept up to date and in order. Photocopies & distributes all documentation and correspondence. Collects and sends weekly time sheets within the specified deadline.
Provides backup for other Project Administrative Assistants.
Accurately and neatly produces company correspondence by word processing of all internal memos and external letters to customers and records on ongoing customer correspondence Dbase where required.
Faxes and couriers or mails letters to customers.
Provides courteous customer interface by answering phones and greets customers and other visitors.
Maintains databases for tracking of documents, material and other project deliverables.


Skills:
BASIC SKILL & EDUCATIONAL LEVEL REQUIREMENTS

Computer skills – Word, PowerPoint, Excel, Lotus Notes
2 to 3 years clerk/administrative experience or equivalent
Good oral, written communication skills and excellent organizational skills.
Incumbent must have ability to handle peak loads and prioritize work load, Self starter.
Ability to work independently
