Project Admin Assistant

Position: Project Administrative Assistant

Location: North York, Toronto

Duration: 6 month contract starting 06/24/2019

Rate: $19/

Accountabilities:

  • Support the Project Management Office activities:
  • Support the preparation of the Project Dashboards and Executive Summary
  • Capitalize on the best PMO practices and propose recommendations and improvements.
  • Monitor the implementation of the project folder structure and alignment to the URS and Group guidelines and directives
  • Perform training on and monitor the use of the following PMO process, instructions and guidelines:
  • Support the Project Office teams, including, but not limited to, Project Office Manager, roject Office Planners and Project Office Administrative Assistants.
  • Support PMO in harmonization of bid and project management process, practices, methods and tools, including, but not limited to, Risk and Opportunity Management, Non-Technical Requirement Management, Data Management, Lesson Learned Management, Decision Analysis and Resolution.
  • Participate in progress meetings and project reviews;
  • Provide administrative support to the Vancouver Project Manager(s)/Director(s):
  • As required, schedule project meetings, prepare agendas attend weekly meeting, record attendance, take minutes and action items, update master action item log and distribute minutes;
  • Project Office Data Management activities:
  • As required, monthly sanity check of PMO folders and subfolders.
  • Maintain an updated correspondence tracking log for incoming and outgoing correspondence;
  • As required, proof-read and edit documents
  • As required, prepare and update CDRL/Milestones charts and other graphs and metrics for monthly presentation report (OPS). Keep the CDRL up-to-date at all times
  • Support PMO with the Coordination and tracking of project deliverables and actions to ensure on-time delivery;
  • As required, support the shipment of documents and items.
  • Provides backup for other Project Office Administrative Assistants

Skills:

  • 3 + years experience in implementing and deploying Bid and Project Processes; experience in project coordination
  • Able to mobilize and influence the involved parties towards the achievement of PMO objectives;
  • Advanced organizing and planning skills;
  • Strong organizational skills and ability to balance multiple priorities;
  • Excellent interpersonal skills
  • Advanced computer literacy – MS Office (Excel, Word, Visio, Powerpoint, Access)
  • Fulfill the role and responsibilities of Project Office Administrative Assistant
  • Fulfill the role of a project coordinator role by Coordinating the actions of the Project Management Office a
  • Coordinate and monitor the project deployment of Project Management practices and tools.
  • Support the project structuring, scheduling, estimating, risks and opportunities management, executing and reporting of projects
  • Support the implementation of the assessment of the performance of the monitoring of the project.
  • Capitalises on best practices and proposes recommendation and improvement.
  • Participates in relevant progress meetings and project reviews.
